Before you start
A group appointment is one visit with more than one patient, like a party, an event, a family, or a corporate wellness day. One provider sees everyone. Group appointments are available on every marketplace; there's nothing to turn on. Your team adds the extra patients. Clients can't book a group from the booking page yet.
Step 1: Start with the first patient
- In Calendar, select Create Appointment.
- Choose the first patient, the marketplace, and their services.
Step 2: Add more patients
- Under Additional patients, select Add another patient.
- Under Select a patient, choose who's joining, then Add procedure for the services they want. Everyone can have different services.
- Select Add patient. Repeat for each person.
Step 3: Finish booking
- Set the start and end time. One provider sees everyone, and the visit lasts as long as the patient with the most services.
- Choose the practitioner, check the location, and select Create.
The visit becomes a group automatically as soon as it has more than one patient. To add or remove patients later, edit the appointment. Removing a patient refunds their part of the checkout automatically.
How payment works
A group has one checkout. To split it:
- Open the checkout and turn on Split Payment.
- Tick the items for one patient. The amount fills in for you.
- Collect it by card, cash, or a payment link sent by text or email, so that person can pay on their own phone.
- Repeat for each person until the balance is paid.
Or leave Split Payment off and charge the whole group at once.
Groups from requests
A request in Dispatch can be a group too. Add patients when you create the request, or while it's Pending Approval or on the Waitlist. Dispatch treats it as one provider slot.
Tips
- Add every patient as a client first, so each one has their own record and intake.
- For big events, consider booking more than one provider as separate visits.
